01

Application Submission

Stage 1

Submission of the application along with the required enclosures in given format by CGCERT. Verification & document scrutiny of the submitted application.

Operator Intimation

Timeline: 15 / 30 Days

Giving intimation to the operator (client) related to performance or completeness of application within 15/30 days of submission of application regarding compliance/requirements.

Operator Registration & Trace-Net Credentials

Trace-Net APEDA

Complete application shall be registered and creation of separate User ID and Password for operator. User ID & Password shall be forwarded to the contact/responsible person mobile/email id and it is used in Trace-Net (Online portal of APEDA for Organic Certification & Traceability).

Data Forwarding (OSP & Wild Harvest)

Organic System Plan

Online primary data/Organic System Plan (OSP) and addition of wild collection/harvest shall be sent via Trace-Net only (species, quantity, potential etc.).

Fee & Contract Agreement

Financial Mandate

Submission of certification fee & Contract; intimate operator regarding certification fee in which applicable traveling cost, lab analysis charges etc. are included, and shall be borne by the Operator/CB.

Inspection & Evaluation

Report: Within 07 Days

External inspection and evaluation shall be done, based on the NPOP Standard (On-site inspection shall be done and all the related documents shall be verified at the time of inspection). Prepare reports within 07 days.

Certification Decision Committee Meeting

Meeting: Within 30 Days

Meeting shall be organized within 30 days from the date of external inspection. Based on the operator's compliance and member's opinion, final decision communication to the concern operator, whether scope certificate issued or refused.

Scope Certificate Issuance

Grant of Certificate

Scope Certificate issuance by CGCERT to qualified operators upon approval of the Decision Committee.

Lot Creation & Residue Sampling

Lab Analysis

Lot Creation: (Sampling: analysis & residue testing). Selection of Scope for Lot creation for Current/previous lot. Product and lot wise selection upon requirement.

Updating Actual Production

Within 90 Days | 1 Year Validity

After getting Scope Certificate, Operator shall have to update product wise final/actual quantity/stock for domestic/export within 90 days from issuance of Certificate. Validity of the Scope Certificate will be valid for one year only.

Issuance of Transaction Certificate (TC)

3 / 5 / 7 Days or 30 Days

Certificate shall be given to clients if he/she compiled & updated product quantity, and batch/lot product within 3/5/7 days. If additional physical verification needed, 30 days as per TraceNet portal.

Stock Inventory & Renewal of Scope Certificate

Renewal: 06 / 03 Months Prior

Stock Inventory: Lot stock inventory/ Batch stock inventory and Transaction stock inventory shall have to be updated by the operator for Certification Agency's ready reference records. Renewal of Scope Certificate: As per operator's interest, Scope Certificate would be renewed and operator shall have to forward renewal of application proposal through Trace-Net by filing all the required criteria before 06/03 months from the date of Scope expiry.
